A day of coordinator isn't just someone that shows up with the clipboard and bosses everyone around. They're the reason your wedding day doesn't turn into an emergency group text vent session.

You've probably heard (or said) at least one of these:
  • My venue coordinator will handle that.
  • My mom/brides can help.
  • It's a small wedding, we'll be fine.
Spoiler: None of these people are actually managing your wedding day.

What People THINK a Day Of Coordinator Does:

Most people assume a day of coordinator helps with decor, keeps things on schedule and answer a few questions. But it's so much more than that. And while that's true... That's only about 10% of the job.

What a Day Of Coordinator ACTUALLY Does

A coordinator actually steps in before the wedding date. Our services start 4 weeks before the wedding day to fully get to know each client and every detail about their wedding. We start with a call to gather all information from the client. Then we schedule a call with every vendor to confirm the information still matches. We review the arrival time, setup needs, any requests or concerns. Troubleshoot issues before the are an issue and confirm everyone knows where to be and when. We also work to create and finalize the timeline.
A true day of coordinator steps in before the wedding day, not just when things are already chaotic. At Bay & Barn our services begin four weeks before your wedding so we can fully understand you, your vision and every moving part of your day. We start with a call to gather all wedding details, then connect with every vendor to confirm logistics, requests and any concerns. We troubleshoot potential issues before they become real problems and we ensure everyone knows where to be and when. While we handle all of those calls, we also work to create and finalize the timeline.
After the wedding day we stay to manage the breakdown and cleanup. We ensure personal items are secured, vendors exit according to the venue contract and do a final sweep to prevent any post-event issues with the venue.

Why Your Wedding Will Fall Apart Without One

Without a coordinator, vendors are going to start asking questions while you are getting ready and it quickly turns into a domino effect. Hair and makeup runs late, the ceremony is delayed, the DJ doesn't know the ceremony order because the timeline wasn't confirmed with everyone. The caterer has questions in the middle of vows, dinner is late, guest are hungry and frustrated. Without a coordinator, someone you love becomes the manager and that's not fair to you or them.

Venue Coordinator vs Day Of Coordinator

A venue coordinator is only responsible for the venue logistics. They work for the venue and do not manage your vendors, oversee your timeline, advocate for you or handle setup unless previously agreed upon. A day of coordinator works for YOU.

Who ACTUALLY needs a Day Of Coordinator

Couples that have multiple vendors, tight timelines, multiple locations, DIY decor, or Outdoor weddings are highly recommended to have a coordinator. Anyone who doens't want to answer questions all day and wants to be fully present while someone else manages the chaos should strongly consider a day of coordination.

With Bay & Barn, day of coordination means more than showing up, it means protecting your experience. We understand the emotions that come with being engaged, we work with you in a calm, controlled way so you can enjoy your wedding day instead of stressing it.
